THE ROLE

An Information Compliance Officer is now sought to manage all aspects of legal compliance with the Data Protection Act 1998 and the Freedom of Information Act 2000 and related legislation, liaising closely with key stakeholders across the whole university to establish best practice

The post-holder will be part of an enterprising civic university addressing real world challenges. The strategy to 2020 is to enhance its reputation through student success, real world impact and being the chosen partner for change.

The post-holder reports to the University Solicitor and is a member of the legal team.

The post-holder will manage information legal compliance across the whole university. The post-holder will contribute to creating a culture of continuous improvement by setting best practice in information legal compliance.

  • A crucial aspect of the role is to form collaborative working relationships with the senior points of contact in the schools, student services, the academic registry, the chief information officer and professional services.

  • The post-holder will require excellent interpersonal skills and an ability to work effectively across organisational and professional boundaries.

Main activities and responsibilities

To manage all aspects of legal compliance with the Data Protection Act 1998 (DPA) and the Freedom of Information Act 2000 (FoIA) and related legislation.

Act as the primary point of contact for all staff on best practice in information legal compliance.

To manage any complaints about breaches of the DPA and FoIA and necessary response.

Maintain and develop the publication scheme, based on the Information Commissioner's Office (ICO) best practice, to ensure that up to date information is released.

To review all correspondence received from the ICO and, where necessary, to communicate to the appropriate level of management what action is required.

To ensure that a timely and appropriate response is given by to every communication from the ICO.

To form collaborative working relationships with a wide range of other departments and functions across the organisation.

To ensure that a timely and appropriate response is given by the organisation to every communication from subject access requests (SARs) and freedom of information requests (FoIRs).

To maintain a secure and efficient filing system, so that colleagues are able to retrieve information request cases promptly.

To regularly review information policy and practice and to recommend improvements.

To report on the volume and nature of SARs and FoIRs to the quarterly review, executive, and board of governors as necessary.

To design and deliver awareness and training programmes to develop employees' understanding of best practice in information legal compliance, liaising with the employee development team.

To monitor changes in legislation or the information regulatory environment that may affect best practice and to recommend action and manage change projects to ensure legal compliance.

ABOUT YOU

:

A graduate with around 2 years' experience of information legal compliance, principles and best practice.

A natural team-player and communicator with a demonstrable record of forming flexible, collaborative professional relationships;

Highly organised and able to deliver work of a consistently high quality, often to tight deadlines;

Excellent written and spoken English and the ability to draft concise correspondence;

As a professional position, the Executive will be relying on professional advice and information supplied by the post-holder and will be basing important decisions upon it. To establish their credibility, it is essential for the post-holder to have good professional judgement, accuracy and a painstaking eye for detail;

Presentation skills and willingness to deliver face to face training.

Ability to proactively harness the benefits of ICT systems to improve efficiency;

A formal qualification in information compliance is desirable but not essential.
